Student Organization Event Reservations
Recognized student organizations are an essential part of the vibrant, active campus life at Morgan State University. From meetings and trainings to social programs, cultural celebrations, and major signature events, the University Events Office is here to support your organization in bringing its ideas to life.
To ensure fairness, consistency, and proper coordination across campus, all student organizations are required to use the Morgan State University Virtual Events Management System (VEMS) to reserve space for any meeting or event on campus. VEMS serves as the central scheduling tool for room availability, event setups, and campus resource alignment.

How to Reserve a Space in VEMS
- Log in to the Morgan State University Virtual Events Management System (VEMS) using your Morgan credentials.
- Submit an event request with complete details, including:
- Event name and purpose
- Preferred date(s) and time(s)
- Expected attendance
- Preferred location(s)
- Setup and technology needs
- Once submitted, your request will be routed through the appropriate review and approval process.
- You will receive an official confirmation email once your reservation has been approved.
Please note: Submitting an event request in VEMS does not guarantee a reservation. Events are only confirmed once reviewed and approved by the University Events Office and other required stakeholders.
Event Support for Student Organizations
The University Events Office is available to assist student organizations with:
- Understanding the VEMS reservation process
- Guidance on selecting appropriate spaces
- Scheduling for recurring meetings
- Coordination of setups, audiovisual needs, and logistics
- Navigating event policies, risk management, and required approvals
- Connecting with Sodexo Magic for catering (if needed)
Important Reminders for Student Organizations
- Only recognized student organizations may reserve space.
- Event requests should be submitted at least 10 business days in advance.
- All events involving catering, high attendance, special equipment, or late-night hours may require additional approvals.
- Failure to follow VEMS procedures may result in delayed or denied reservations.
