AI Meeting Note-Taking Tools: Frequently Asked Questions
Why is Morgan State University making this change?
Morgan State University is strengthening protections around university meeting content,
institutional data, and cybersecurity practices.
Some third-party AI meeting note-taking tools store recordings, transcripts, participant
information, and meeting content outside the university’s managed technology environment,
creating potential security and privacy risks.
Which AI meeting note-taking tools are approved?
The following tools are approved for university use:
● Zoom AI Companion
● Gemini for Google Workspace (“Take Notes for Me” in Google Meet)
These tools operate within Morgan State’s supported enterprise environments.
Which tools are not approved?
Unauthorized third-party AI note-taking tools include, but are not limited to:
● Fireflies.ai
● Otter.ai
● Read.ai
● MeetGeek
● Other AI meeting bots or plugins connected to university meetings or calendars
What will happen on June 3?
Beginning June 3, Morgan State University will update Zoom settings to automatically reject
unauthorized third-party AI meeting bots from university-hosted meetings.
What should I do now?
If you have connected an unauthorized AI meeting assistant to your Morgan State account,
calendar, or meetings:
1. Disconnect or revoke the application immediately
2. Remove calendar integrations connected to AI meeting tools
3. Use only approved university-supported tools moving forward
How do I know if an unauthorized AI bot is in a meeting?
Unauthorized AI note-taking tools often appear as separate meeting participants with names
such as:
● Read.ai Notetaker
● Otter Assistant
● MeetGeek Bot
Approved enterprise tools such as Zoom AI Companion do not appear as separate participants.
Can students use AI meeting note-taking tools?
Students should only use university-approved tools in connection with Morgan State meetings
and accounts.
Unauthorized third-party AI bots should not be connected to university meetings, calendars, or
systems.
What if I join a meeting hosted by another organization?
External organizations may use their own AI transcription or note-taking tools.
When participating in externally hosted meetings, exercise caution when discussing sensitive
institutional, security, personnel, or contractual information, as meeting content may be retained
or processed by third-party platforms.
