Department:    School of Graduate Studies

Duties:    Provides administrative and analytical support to the Dean and the Assistant/Associate Deans in meeting the mission of the School of Graduate Studies by performing varied tasks;  monitors the division budget and resolves student related problems;  completes faculty contract certifications; acts as a campus administrative support liaison; performs general office management duties; utilizes best practices in customer service; assists with planning and development of student awards and orientation programs; works with auxiliary administrative teams of the School of Graduate Studies, the institute for Urban Research and the Center for Continuing and Professional studies;  prepares and submits travel and expense reports; prepares correspondence and maintains records of communications;  keeps Graduate School minutes and a record of Graduate Council actions; supports the thesis and dissertation submission process; responds to requests and inquiries; coordinates the School of Graduate Studies activities;  communicates with external vendors; works on special projects; works with a high degree of independence and sensitivity to confidentially;  coordinates the office workflow; trains staff and ensures appropriate assignment of duties and responsibilities;  identifies and resolves problems; conducts internal and external research; ensures professionalism and customer service among the administrative staff and graduate assistants; performs other duties, as required.

Minimum Qualifications:   Bachelor’s Degree; Five (5) years of relevant experience in customer service working in a graduate or adult high education setting.

Preferred:  Masters Degree.

Requirements:   Knowledge and skill in operating manual and automated office equipment; knowledge of electronic data base management systems and web based applications;  skill in using Microsoft Suite applications; ability to work with external vendors; ability to plan and manage a budget; ability to supervise and manage; ability to organize; ability to work independently; ability to communicate effectively;  ability to use data-driven applications to manage contacts and inquiries using office tools and enterprise systems.
