Department: Office of Alumni Relations
Duties: Provides administrative and clerical support to the Office of Alumni Relations; serves as a liaison between the office, alumni and constituents; serves as lead administrative and clerical support person; assists with the management of the day-to-day operations of the office; assists with managing the Alumni House; schedules meetings; assigns rooms for overnight guests; oversees the upkeep of the facility; oversees the mailing and printing for alumni classes and chapters; schedules meetings; prepares and distributes correspondence; prepares agendas; secures Executive Committee reports; prepares travel arrangements; updates and manages the alumni database; prepares lists and labels for classes and chapters; manages the alumni on-line community; assists with signing-on, uploading photos, news articles, and other materials; pulls data for reports, prepares and sends email blasts to alumni; manages social networking sites such as Facebook and Twitter; queries lists of deceased alumni for the Alumni News and for the Memorial Services; manages the annual dues and life membership programs; mails membership cards; orders membership plagues; manages the life membership scroll; prepares correspondence; opens and distributes mail; supervises student workers; and performs other duties, as required.
Minimum Qualifications: High School Diploma or GED. Two (2) years of office experience providing administrative support. Demonstrated ability to type at least 45 wpm. Must complete the university’s clerical skills test.
Preference: Knowledge of and skill in Banner applications.
Requirements: Knowledge of office practices, procedures and equipment; knowledge of business English; knowledge of Microsoft Office Suite and other internet software programs; skill in operating manual and automated office equipment; ability to work and interact with all levels of staff; ability to work independently and as part of a team; ability to provide excellent communications and customer service skills; ability to plan, organize, prioritize, and execute multiple and continuing assignments with only general instructions; and the ability to communication effectively.
