Department:        Office of the Vice President for Student Affairs

Duties:  Performs administrative and clerical support for the Office of the Vice President for Student Affairs; serves as primary support for the Associate Vice President; uses various software applications and other automated equipment; opens the office at 8:00 am; takes minutes at Student Affairs Directors’ Meetings; prepares various forms and charts; types various correspondence; maintains spreadsheets and financial information on the University Bridge Grants and scholarships; maintains logs of incoming and outgoing athletic contracts; works with the Athletic, General Counsel, and Finance and Management offices to ensure contracts are processed properly and timely; works with Student Affairs Directors and their staff on various projects; greets and interviews visitors; responds to inquiries and requests; reviews, routes and prioritizes mail; schedules meetings; compiles and develops agenda and minutes; maintains inventory of supplies and equipment; processes and maintains purchase orders; retrieves data; develops and coordinates processes for fiscal procedures; assists in the preparation of annual reports; assists in the coordination of departmental activities; supervises lower-level clerical and work-study students; prepares travel arrangements and itineraries; ensures confidentiality of information; and performs other duties, as required.

Minimum Qualifications:  High School Diploma or GED.  Two (2) years of office experience providing administrative support, which also included the production of documents using automated equipment and software applications.  Demonstrated ability to type at least 45 wpm by completing the university’s clerical skill test.   

Requirements:     Knowledge of office practices, procedures and equipment; knowledge of business English; knowledge of the Microsoft Office Suite; skill in operating manual and automated office equipment; skill in maintaining clerical records; ability to work and think clearly under pressure; ability to maintain a professional demeanor; ability to understand and follow instructions; ability to interact with the public, employees, and students in a courteous and efficient manner; ability to plan, organize, prioritize, and execute multiple and continuing assignments with only general instructions; ability to communicate effectively.
