Department: The Office of Academic Affairs
Duties: The Administrative Assistant performs administrative and clerical duties in support of the Assistant Vice President of Academic Affairs; types a variety of documents with accuracy (reports, faculty contracts, promotions, etc.); maintains administrative and confidential files of the division; processes mail; answers telephones, screens and directs incoming calls; documents all assignments for the office; assists with report preparations; composes and types memos; assists with travel arrangements and prepares travel documents; prepares contracts for all of the Academic Support Programs, as well as, Summer School, Continuing Education, Graduate School, and the School of Community Health and Policy; communicates well with all staff members and visitors; maintains appointment schedules for the department chairperson; maintains a high level of confidentiality; and performs other duties, as required.
Minimum Qualifications: High School Diploma or GED. Two years of office experience, which includes the production of documents using automated equipment and software. Demonstrated ability to type at least 45 wpm.
Requirements: Knowledge of office practices, procedures and equipment; knowledge of business English; excellent communication and customer service skills; knowledge and expertise of Banner applications; skill in Microsoft Excel and Access; skill in operating manual and automated office equipment; skill in maintaining clerical records; ability to work and think clearly under pressure; ability to maintain a professional demeanor at all times; ability to understand and follow instructions; ability to interact with the public, employees, and students in a courteous and efficient manner; ability to plan, organize, prioritize, and execute multiple and continuing assignments, with only general instructions.
