Department: Academic Affairs
Duties: Performs complex administrative secretarial and clerical duties for the Assistant Vice of Academic Affairs on Faculty Professional Development; plans and coordinates meetings for faculty Professional Development and Faculty Institute; assists in purchases and procurement; monitors expenditures for the office; prepares letters, memos, reports, minutes, charts, requisitions, forms and other documents for the staff; prepares correspondence from rough drafts, corrected copy, and oral detailed instructions; opens, sorts, and reads incoming correspondence; creates travel requisitions; receives and screens calls; processes PF10's, BB4's, temporary contracts and faculty contracts of Institute of Architectural Planning (IAP) and for the School of Business Management(SBM); processes Maryland State Expense Accounts; creates and maintains files; creates spread sheets; handles faculty inquiries; orders supplies; interacts with Sponsored Programs, Accounts Payable, Comptroller's Office, Procurement and the Purchasing Card Office; retrieves receipts; prioritize work assignments; monitors all administrative details i.e., personnel transactions, purchases and contracts; creates flyers and booklets for conferences, workshops and retreats; works with food service for meal preparation for meetings and conferences; coordinates and expedites administrative details relative to preparing contracts, hiring, compensation, and certification of payment for faculty members; serves as a liaison between Human Resources and Payroll to facilitate personnel matters; compiles, organizes and maintain current and historical data needed for management decisions, reports, budgets special transactions; handles confidential materials and performs other duties, as required.
Minimum Qualifications: High School Diploma or GED. Three years of office experience which included the production of documents using automated equipment and software; Demonstrated ability to type at least 50 wpm and pass the University's clerical skills test.
Requirements: Knowledge of office procedures, practices, and equipment; knowledge of business English; skill in Microsoft Word, Corel Word Perfect, Microsoft Excel, Access and Banner; skill in operating manual and automated office equipment; skill in maintaining clerical records; ability to work and think clearly under pressure; ability to understand and follow directions; ability to communicate effectively with customers; ability to interface in a courteous and efficient manner; ability to plan, organize, prioritize, and execute multiple and continuing assignments, with only general instructions.
